AI Quote Generation in Minutes

74% of calls to home-services firms go unanswered. The customer who got voicemail is already texting a description of the job to the next firm on the list. AI quote generation means you reply with a real estimate in minutes — not days.

AI quote generation turns a customer's voice note, photo or typed description into a structured, itemized estimate in under five minutes — without a technician on site. The model interprets scope, applies your labor and material rates, flags unknowns that require a visit, and delivers a branded PDF ready to sign. For construction and home-services firms, this closes the gap between the moment of intent and a committed job, before the competitor even calls back.

01 / 06How it really works

How AI cites you, step by step

01

Customer submits scope

Via voice note, photo, a short typed message or a web form. No app to install. The AI transcribes and parses the description into structured line items: area, material, labor complexity, access conditions.

02

Your rates are applied

The model draws from your rate card — the one you define and update. It never invents prices: it applies your own labor and material values, region-adjusted, to the parsed scope.

03

Unknowns are flagged

Anything outside the model's confidence — unusual materials, structural uncertainties, permit requirements — is surfaced explicitly. The estimate marks what is firm and what requires an on-site look, so the customer is never misled.

04

Branded estimate is delivered

A PDF with your logo, your terms and your line items is sent to the customer's email or phone within minutes. It can include an e-signature link and a direct booking button, so the job closes without a phone call.

02 / 06What actually moves the needle

The levers of citability

Speed is the conversion lever

The firm that replies first wins the job in most cases. An AI that generates an estimate while the customer is still waiting is a structural competitive advantage, not a feature.

Your rates, not a generic engine

The model operates strictly within the rate card you configure. It doesn't guess market prices or pull from external sources. If your material costs change, you update one file.

Handles voice and text equally

A customer can leave a 90-second voice note describing their bathroom renovation. Whisper transcribes it, the AI structures the scope, and the estimate is out before they finish their coffee.

Flags what it cannot price

Uncertain scope surfaces as a line item marked 'requires site visit'. The customer gets a partial estimate with a clear explanation, not a silence or a vague answer.

CRM and calendar integration

Each generated estimate fires a webhook to your CRM: lead created, scope captured, estimate attached. If the customer clicks 'book', it drops straight into your scheduling system.

Compliant with CCPA

Customer data used to generate the estimate is processed with a lawful basis, stored minimally and never used to train public models. CCPA opt-out supported out of the box.

03 / 06The moment that decides the job

The firm that quotes first wins. Almost always.

74% of calls to home-services firms go unanswered (NextPhone, n=130,175). The customer who got voicemail does not wait: they message the next firm and move on. An AI that turns a voice note or photo into a branded estimate in under five minutes means you are always the first to reply with a real number — not a callback promise.

Free rate card audit

How fast does your firm quote today? We time it.

We simulate a real inbound request — voice note, description or photo — and show you exactly how long your current process takes versus an AI-generated estimate. You leave with a concrete gap analysis and a deployment roadmap. Free and no obligation.

Backed by data

This isn't opinion. It's studies.

Every decision we make has a verifiable source behind it.

74% of inbound calls to home-services firms receive no answer.

Across 130,175 calls in the US. The customer who reaches voicemail is actively evaluating other providers within minutes. Speed of first substantive reply — not just acknowledgment — is the primary conversion variable.

Blocking AI training bots reduces monthly site visits by 23.1%.

Blocking doesn't protect your content: it severs the traffic and citation that AI engines represent. An estimate-generation system that surfaces your firm in AI-driven searches depends on not blocking AI crawlers.

AI impressions rose +340% across sister brands after deploying the full stack.

Quote generation feeds downstream visibility: every closed job produces a review signal; every review signal raises AI citability. The conversion layer and the visibility layer compound.

AI quote generation for construction across the US

We work with local and multi-location firms across the US. Each market gets its own rate card calibration, local permit knowledge and intake channel configuration. If you operate across several metros, each location runs its own rate logic and branding.

06 / 06How we deploy

From audit to production in 4 weeks

  1. 01
    Week 1

    Rate card and scope mapping

We digitize your labor and material rates, define the trades and scopes the model will handle, and document the edge cases it should flag rather than price. You review and sign off the rate logic before any AI touches a real customer.

  2. 02
    Week 2

    Integration and intake channels

We connect the AI to your inbound channels: web form, WhatsApp Business, SMS or email. We configure the CRM webhook, the PDF template with your branding, and the e-signature link.

  3. 03
    Week 3

    Supervised live testing

Real estimates, real customers, with a human reviewing every output before it is sent. We tune the model's rate application and flag logic based on what comes through. Most firms need fewer than 20 supervised estimates to reach production confidence.

  4. 04
    Week 4

    Full deployment and measurement

The system goes fully live. We hand you a dashboard showing estimates generated, conversion rate (estimate to booked job), average job value and time-to-first-reply. Monthly review call included.

Quick glossary

The terms, in plain words

AI quote generation
The automated process of turning a customer's description, voice note or photo into a structured, itemized estimate using a language model trained on your rate card and scope definitions.
Rate card
The document that defines your labor and material prices by trade, scope and region. The AI applies this card strictly — it never invents prices from external sources.
Scope parsing
The AI step that converts a free-text or spoken description into structured line items: area, material, labor type, access conditions and complexity flags.
Flagged line item
A scope element the model cannot price with confidence, surfaced explicitly in the estimate as requiring a site visit or clarification. Prevents over- or under-quoting.
Whisper transcription
OpenAI's speech-to-text model, used to convert voice notes into text before scope parsing. Supports accented English and industry terminology.
CRM webhook
An automatic HTTP call that fires each time an estimate is generated, creating a lead record in your CRM with scope, contact and estimate value attached.
E-signature link
A URL embedded in the PDF estimate that lets the customer sign and approve the quote from their phone, without printing or calling back.
CCPA
The California Consumer Privacy Act. It gives California residents rights over their personal data. Our system is configured with opt-out support and minimal data retention to comply.

Thirty minutes by video or phone. No jargon. The team answers with data from your business on the table.

Talk to the team
  1. Q/01Can the AI generate a real estimate from just a voice note?

Yes. The customer leaves a voice note describing the job — for example, 'I need the bathroom tiles replaced, about 40 square feet, existing tiles need to be stripped' — Whisper transcribes it, the AI parses scope and applies your rate card, and the PDF is sent within minutes. For anything outside the model's confidence — structural unknowns, permit conditions, unusual materials — the estimate includes a flagged line item explaining what requires a site look.

  2. Q/02Does the AI invent prices, or does it use my own rates?

It uses only your rate card. You define labor rates by trade and complexity level, material costs by unit, and any regional adjustments. The model applies those values to the parsed scope. If an item falls outside your rate card, it is flagged rather than estimated. You can update the rate card at any time and it takes effect immediately on the next estimate.

  3. Q/03What happens when the scope is ambiguous or the job is too complex to quote remotely?

The system generates a partial estimate covering the items it can price with confidence, and flags the uncertain elements explicitly — for example, 'structural assessment required before pricing beam removal'. The customer receives a professional document that shows you have understood their request and gives a clear next step, rather than silence. This keeps the conversation moving without over-committing.

  4. Q/04How does this connect to our CRM and scheduling system?

Each generated estimate fires a webhook to your CRM: lead created, scope captured, estimate value attached. If the customer clicks the 'book a visit' button in the PDF, the appointment drops into your scheduling system. We support standard CRM platforms and can connect to custom systems via webhook. No manual data entry.

  5. Q/05Is the customer data used to generate estimates secure and CCPA-compliant?

Yes. Customer descriptions and contact data are processed with a lawful basis, stored for the minimum time necessary and never used to train public AI models. We sign a data processing agreement with every client. CCPA opt-out is supported out of the box, and we configure data retention to match your state requirements.

  6. Q/06What trades and scopes can the AI quote?

At launch we configure the trades you define: remodeling, plumbing, electrical, HVAC, roofing, windows, flooring and landscaping are the most common. For each trade we map the scope types — installation, repair, replacement, emergency — and the variables that affect price: area, material grade, access complexity, permit requirement. Unusual or bespoke scopes are flagged rather than priced.

  7. Q/07Can it handle requests in Spanish or other languages?

Yes. Whisper supports multiple languages including Spanish. If your firm serves Spanish-speaking customers, the system can accept voice notes and descriptions in Spanish, parse them and generate the estimate in English (or Spanish, your choice). We configure the language behavior during onboarding.

  8. Q/08How do you measure whether AI quote generation is actually converting jobs?

We track three metrics: estimate-to-booking rate (how many estimates convert to a booked visit or signed job), time-to-first-reply (how quickly the customer receives a real number after contacting you) and average job value of AI-quoted jobs versus manually quoted ones. You get a monthly dashboard with those figures and a review call to discuss any gaps.

  9. Q/09Does this replace the estimator or the site visit?

Neither. It handles the first step — giving the customer a credible, structured estimate fast enough to keep them in the conversation. Jobs that require a site visit still get one: the AI flags them. What it replaces is the 24-72 hour gap between first contact and first number, which is where most construction firms lose the job. Your estimator spends their time on complex jobs that need judgment, not on data entry for straightforward requests.
