Voice-to-report
The workflow in which a technician dictates job details as a voice note and AI converts the audio into a structured, filed job report without manual typing.
Job close-out
The point at which a job is formally completed on site. Voice-to-report is designed to happen at this moment, while all details are fresh and accurate.
Structured job template
A predefined set of fields — labour, materials, duration, observations, compliance checkpoints — that the AI populates from the dictated audio. Different trades have different templates.
Auto-approval
A configuration mode in which reports that pass all validation rules are dispatched to the customer and CRM automatically, without requiring a back-office review step.
Webhook
An automated HTTP call that sends the completed report data to your CRM, accounting software or job management system the moment the report is finalised.
Compliance checkpoint
A mandatory field or confirmation within a job report required by a trade regulator — Gas Safe, NICEIC, local authority building control — that must be completed before the report can be submitted.
Same-day invoicing

  1. Q/01Do technicians need a smartphone or a specific app?

    No specialist app is required. Most deployments run through WhatsApp, which technicians already use. The voice note is sent to a dedicated WhatsApp number; everything else happens in the cloud. For businesses that prefer a dedicated interface, a lightweight progressive web app is available, but it is not the default.

  2. Q/02How accurate is the AI transcription for trade terminology?

    Accuracy is high for standard English and improves further when the AI is tuned on your specific trade vocabulary. Terms like 'flue liner', '32A MCB', 'tanking membrane' or 'P-trap' are configured as fixed vocabulary before rollout. Proper nouns — your product brands, supplier names — are added during the Week 2 integration phase.

    The AI flags missing mandatory fields before the report is finalised. If auto-approval is on, the report is held and the technician receives a prompt asking for the missing detail. If back-office review is active, the reviewer sees a highlighted list of gaps and can chase the technician directly. No report with empty compliance fields is dispatched.

    Yes. The voice-to-report layer is designed to sit on top of your existing stack, not replace it. Completed reports are pushed to Jobber, ServiceM8, Commusoft or any system with a webhook or API. If your system only accepts CSV import, we configure a scheduled sync. We audit your current tools in Week 1 and confirm compatibility before any commitment.

  5. Q/05How does this handle UK GDPR? The audio contains customer and job data.

    Audio is transcribed and then deleted — it is not retained as a recording. The structured report data is stored in UK-based or EU infrastructure with encryption at rest and in transit. Technicians are briefed that the audio is used solely for report generation. Your data processing agreement covers this workflow as a processing activity with a legitimate interest or contractual basis. The ICO's guidance on AI and data protection is the applicable framework.

  6. Q/06Does voice-to-report work for multi-trade jobs where several technicians are on site?

    Yes. Each technician can submit their own voice note for their scope of work; the AI compiles a combined report with attributed sections. Alternatively, the lead technician submits a single note covering all trades. The template is configured per job type during setup, so multi-trade jobs have their own structure.

  7. Q/07What compliance standards are supported out of the box?

    The default UK templates include fields for Gas Safe registration number and notification, NICEIC/NAPIT certification reference, Part P self-certification, building regulations sign-off and landlord safety record numbers. If your trade has a regulator not on this list, we add the relevant fields during the template-design phase in Week 1.

  8. Q/08How quickly can the customer receive their report?

    In auto-approval mode, the report reaches the customer within two to five minutes of the technician finishing dictation — before they have driven to the next job. In review mode, the back office sees the draft immediately and can approve with one click. The customer email or WhatsApp message is sent the moment approval is given.

  9. Q/09Can this system generate the invoice automatically from the report?

    Yes, with the accounting integration enabled. Once the report is approved, the line items — labour at the agreed rate, materials at cost-plus — are pushed to Xero or QuickBooks as a draft invoice. The bookkeeper reviews and sends, or you can configure fully automatic issuance for fixed-price jobs. This closes the loop from job completion to payment request in under ten minutes.
